Vaccine verification process update

Auburn University recently announced that all employees must be fully vaccinated no later than Dec. 8, 2021. The only exceptions are in limited circumstances where an employee is legally entitled to a medical or religious accommodation. 

Beginning today, Nov. 2, the university will begin verifying the vaccination statuses of employees. Human Resources strongly encourages employees to review the information posted on the Vaccine Protocol website. It includes details on the verification process, the attestation form that employees will need to complete and the processes for those who do not present verification of compliance by Dec. 8.

IMPORTANT: If you are seeking an exemption request, you are strongly encouraged to submit it no later than Nov. 15 to ensure timely review.

Verification Opportunities

  • You will receive additional information from your HR Liaison about verification opportunities within your department.

  • Beginning today, you can visit the Auburn University Administrative Complex at 1550 E. Glenn Ave. weekdays between 7:45 a.m. and 4:45 p.m.

  • Additionally, on Thursday, Nov. 4, and Friday, Nov. 5, Auburn University Human Resources, or AUHR, will hold verification opportunities for all employees at the following locations:

    • Harold D. Melton Student Center, 2nd Floor, near Foy Information Desk, 7:45 a.m.– 4:45 p.m.

    • Ralph B. Draughon Library, Newspaper Room, 7:45 a.m. – 4:45 p.m.

    • Brown-Kopel Engineering Student Achievement Center, Atrium, 7:45 a.m. – 4:45 p.m.

Verification Process

  • The visual review of your vaccination status should be conducted in person, or virtually via Zoom/other video meeting platforms.

  • HR Liaisons and/or their designee(s), along with Auburn University Human Resources personnel, will serve as Verifiers and conduct compliance verification.

  • You must present the following to your HR Liaison/Verifier:

    • Your picture identification, and

    • Your CDC vaccination card or other acceptable documentation, as listed on the Vaccine Protocol website, or

    • A Vaccine Verification or Vaccine Exemption form. Both forms are available on the Vaccine Protocol website, or can be obtained from the HR Liaison/Verifier at the time of the review.

  • Your vaccination status will be verified by visual review of CDC vaccination cards or other acceptable documentation. Verifiers will not make copies of any documentation that you present.

Non-Compliance

  • On Nov. 15, AUHR will send a pre-termination letter to employees who have not shown verification of compliance.

  • This pre-termination letter is intended to satisfy the termination notice process, including offering an opportunity to provide documentation or information regarding an employee’s good faith effort to comply.
