Netmail archive decommissioning scheduled for Oct. 1

The Office of Information Technology will decommission the Netmail email archive system on Nov. 1, 2021. This will only impact a few people. OIT wanted to make sure all users have the opportunity to retrieve items from the archive if they so desire.

Who is affected?

Any employee who needs to retain access to messages that are only stored in the archive at mailarchive.auburn.edu. Nothing has been added to this archive since the migration to O365 in 2018-2019.

Why is this happening?

The Office 365, or O365, email system provides significantly more storage and much greater resiliency than OIT's old systems, so there is no longer a need for this external mail archive.

When is this happening?

OIT will decommission the system Nov. 1, 2021. Requests for mail to be migrated from the archive need to be submitted and approved by Sept. 30, 2021, as the migrations will be processed starting Oct. 1, 2021, to allow time for user validation and review.

What does faculty/staff need to do?

If faculty/staff have mail they need to retrieve, they can forward single items directly from the archive located at mailarchive.auburn.edu or will need to complete the intake request form for a full migration which is available here. Their request will be submitted to the unit IT provider that they will indicate on the form as well as to your dean or department head for approval. Exported archives will be scanned for any personal identifiable information (social security numbers, etc.) before they are migrated to your O365 archive account. Users will be notified when the process is complete so they can verify the migrated mail.
